Policies

Attendance

Children should be accompanied by parent or guardian to and from the facility at all times. Children should be signed in and out by the parent or guardian on a daily basis.

As a courtesy please call the facility by 10:00 am if your child will not be attending for the day so that appropriate scheduling may be arranged.

Families are responsible for providing the office with a written two week notice of attendance changes along with a payment to maintain the enrollment space.

Medications

Medication can be administrated by our staff only with the parent's written permission. Please ask for an appropriate form.

Prescription medication should be in the original container, with the child's name on it, dosage and current date.

Over the counter medicine must be provided by the parent.

All unused medications will be sent home.

Topical medications such as sunscreen, diaper ointment, body lotion, lip balm and bug spray can be administered with written permission.

Parents must provide these topical medications.

Belongings from Home

Please do not allow your child to bring toys from home unless your child has a security toy or show and tell toy for that day. Chesterfield Academy can not be responsible for broken or lost toys.

Please bring a labeled change of clothing for your child. Children of all ages have accidents. Children being toilet trained will need to have several full sets of clothing.

Diapers, wipes and any type of ointment and medication should be provided by the parent.

Children's bedding (a crib sheet, light blanket, pillow etc) should be provided by the parent for napping students.

Nutrition

Breakfast will be served at the facility from 7:30 am - 8:30 am daily.

Afternoon snack is served around 3:00pm..

Lunch is served at the facility between 11:30 am and 12:30 pm based on your child's classroom schedule and age.

All food meets the daily requirements set by the U.S. Department of Agriculture and the Department of Health and Child Care Licensing Unit.

Menus will be posted on a parent information board.

It is the parent's responsibility to provide formula and baby food for a child that can not eat the items on your daily menu.

Special arrangements will be made to accommodate food allergies and alternative foods for religious or dietary needs. A doctor's note must accompany these alternative foods.

Special treats may be brought in for party and celebration days. These must be pre-wrapped and store bought.

Communication

Daily reports will be sent home regarding your child's day at Chesterfield Academy. Please use this as a tool to communicate and for suggestions.

We encourage parents to participate on field trips, seasonal parties and any of our extra curricular activities.

If you have concerns or questions regarding the care of your child or programs being offered, please discuss this with your child's teacher or the managing director.

Illness or Accident

  • Your child may not be accepted into care if he or she displays any symptoms of an illness.
  • The facility will follow state licensing polices regarding the care of the ill child.
  • Parents will be notified if a child has a temperature over 99 degrees and is exhibiting any other signs of illness.
  • A written report will be made of your child's illness or accident. You will be notified immediately.
  • In case of an extreme emergency, the Center Director or manager on duty will act as the situation warrants. All attempts will be made to notify the parents or emergency contacts given, but if deemed necessary the individual will seek medical treatment for the child. The facility is not financially responsible for medical treatment or accidents.

Dismissal

  • Children will only be released to individuals listed on the enrollment.
  • Written authorization is needed for anyone other than the parent to pick up the child. This authorization should be left with the Center Director.
  • Identification to pick up a child will be requested.
  • Security Doors have been installed for safety reasons. All other exterior doors are locked from the outside but open outwardly for interior safety reasons.

Discipline

  • Chesterfield Academy will use verbal redirection along with clarification of request to assist children to develop self control. Positive Reinforcement of appropriate behavior is ongoing.
  • Children may be asked to sit in a time out and away from the group setting to regain self control.
  • A written report will be made of any inappropriate behavior at Chesterfield Academy.
  • Children may be dismissed from the facility if the inappropriate behavior continues and is disruptive to the learning environment.
  • Conference and parent involvement are mandatory when a child is disruptive.

Fees

Tuition must be paid by check, money order or a cashier’s check. No credit card or cash payments will be accepted at this time.

Chesterfield Academy is closed on major holidays as stated in the Parent Handbook. Parents are responsible for tuition when their child is sick or on vacation.

Tuition is based on a yearly average therefore there is no deduction for tuition when the school is closed for holidays or inclement weather.

Additional fees are charged for school age children for early dismissal or full day care.

All schedule and or tuition changes require at least a two week written notice along with payment.

Tuition is due on Monday.

Chesterfield Academy will charge a $15.00 late fee for each week that an account is not paid in full by Wednesday. Any tuition that is two weeks past due will result in immediate termination of enrollment until the account is paid in full.

There will be an additional charge for any account sent to collections – this may include attorney fees, collection fees and professional fee associated with the collection.

Registration

Registration fees are annual. Registration for a child is $75.00. Registration for a family is $100.00. This is non-refundable. The registration should be paid to ensure placement for your child at Chesterfield Academy.

Tuition Increase

An increase is made annual to support raises for teachers and staff member. The tuition increase is between 3-5%. You will be given written notice prior to the increase.

Vacation

After 6 months of continuous enrollment, you will be eligible to take one week of vacation at half-price. After one year of enrollment, you will be eligible for 2 weeks of vacation at half-price. After 2 or more years of enrollment, you will receive 3 weeks of vacation at half-price.

Return Check

Chesterfield Academy will only process a check once through our bank account, another form of payment, bank cashier check or money order, is required to replace returned check plus a $30.00 fee within 48 hours of notification.

Late Pick-up Fees

Chesterfield Academy closes at 6:30 pm. Your account will be charged a dollar ($1.00) per minute if a parent or authorized individual is late picking up their child. Fees must be paid before a child is accepted back into care.

Insurance

Families enrolled in Chesterfield Academy must have their child insured.
